Head of Manufacturing

Position Overview:

As we expand into new R&D and pilot manufacturing premises, we seek a dynamic, experienced, and highly skilled Head of Manufacturing to assist with the commissioning of our pilot-scale production line and then lead the establishment of a first-class manufacturing team and our first advanced manufacturing facility. This role will encompass operations, planning, verification, installation, commissioning, validation, and scaling of production processes, driving process improvements, and ensuring that capability, capacity, and modular scalability targets are validated for subsequent volume manufacturing operations.

What this position will look like in the first 3, 12 and 24 months:

In your first 3 months, you’ll go deep with our people and our tech, becoming intimately familiar with Aeroperm nanocrystalline magnetic material production and its conversion into radial-flux motor cores end-to-end. You’ll build a precise understanding of our world-leading process, its current maturity and constraints, and the roadmap to true mass production, then help design the next-generation pilot line to prove those steps. By 12 months, you will have authored and socialised a complete plan to design, build and commission our first mass-production lines, owning the program schedule and budget while actively recruiting and shaping two new engineering teams to deliver it. By 24 months, you will have led the build and commissioning of those lines to readiness for deployment at our international facilities, locking in capability, capacity and quality targets, standing up the operating system that scales (people, processes, metrics), and handing a repeatable playbook to replicate globally. Key Responsibilities:

Manufacturing Strategy and Leadership

  • Establish a global, modular manufacturing strategy (design for replication, capacity modelling, site-readiness playbooks) aligned to company growth.
  • Lead industrialisation from pilot to mass production using stage-gates and clear launch metrics (capability, Run at Rate, SOP readiness).
  • Build a high-trust, continuous-improvement culture with tiered daily management and lean practices.

Process Development and Optimisation

  • Own process design for scalability and stability.
  • Integrate QMS data flows to enable traceability, genealogy and real-time performance management.
  • Drive cost, yield and takt improvements against target goals.

Production Equipment: Design, Build and Lifecycle (we are the equipment manufacturer)

  • Define architecture and standards for in-house production equipment; design and build standard modules and fixtures for global replication.
  • Run RFQs where needed, manage build site acceptance; own documentation, spares strategy and maintenance plans.
  • Ensure compliance with machine safety and electrical standards (e.g., ISO 13849, IEC 60204-1) and customer/market regulatory needs.

Safety and Risk Management

  • Partner with HSE to embed safe systems of work, machine guarding/LOTO, and program-level risk registers with mitigations.
  • Conduct design and operational risk reviews; ensure environmental and regulatory compliance from pilot through scale.

Program, Financials and Governance

  • Own industrialisation programs (scope, schedule, budget, risk) and capex/opex business cases with ROI and should-cost models.
  • Stand up launch governance (stage-gate reviews) and report on KPIs.

Team Leadership and Capability Building

  • Assist our internal recruiter with the recruitment and development of two core teams: Manufacturing Engineering/Industrialisation and Maintenance-Reliability/Automation.
  • Build training, certification and job-rotation frameworks to sustain two-shift readiness and global tech transfer.

Supply Chain and Production Planning Foundations

  • Define capacity planning, foundations for materials flow; enable supplier readiness for pilot and mass production.
  • Set the standards, data and documentation required to replicate lines at international sites.

Growth and Global Expansion

  • Plan and execute the first mass-production lines; deliver Run at Rate, PPAP with customers.
  • Create the replicable “pilot-to-series” playbook, then prepare deployment to international facilities with trained local teams.

Requirements

Qualifications:

  • Bachelor’s degree in Manufacturing Engineering, Industrial Engineering, or a related field.
  • Master’s degree in Engineering, Business Administration, a related discipline or equivalent experience highly regarded.

Experience:

  • Proven experience (10+ years) in manufacturing leadership roles, preferably within the materials engineering, automotive, aerospace, or defence sectors.
  • Strong track record of developing and executing manufacturing strategies that drive operational excellence and business growth.
  • Extensive experience in process optimisation, lean manufacturing, continuous improvement methodologies, high-speed automated systems, and web handling.
  • Experience managing large-scale manufacturing operations.
  • Demonstrated success in leading and developing high-performing teams.
  • Experience with APQP (Advanced Product Quality Planning) processes is highly regarded.

As an experienced and highly capable Executive Assistant (EA) you will provide strategic and operational support to the CEO and Chief of Staff. This is a pivotal role in a fast-paced and dynamic environment, requiring initiative, discretion, and the ability to anticipate needs and adapt to shifting priorities.

You will be responsible for managing executive communications, diaries, travel, expense and accounts support, document preparation, and supporting Board reporting. The role also includes broader organisational support across HR, IT coordination, and administrative systems. Key Responsibilities:

1. Executive Support

o Manage the CEO’s and Chief of Staff’s diaries, meetings, travel and inboxes, ensuring priorities are clear and time is optimised.

o Anticipate and prepare materials, briefs, and follow-ups for meetings, ensuring executives are informed and prepared.

o Screen, prioritise and draft correspondence and communications on behalf of the CEO and Chief of Staff, where appropriate.

o Coordinate meeting set-up, including scheduling, agenda preparation, distribution of materials, room or AV bookings, catering, and minute-taking where required.

o Coordinate logistics for internal and external meetings, including Board and investor engagements.

2. Board and Reporting Support

o Assist in the preparation of Board and management reports, ensuring accuracy, clarity, and timeliness.

o Collate and synthesise information from multiple sources into executive-ready documents.

o Work closely with the Chief of Staff to support preparation and circulation of Board packs, minutes, and governance records.

o Compile market research and industry intelligence to support executives in developing strategic documents, presentations, and decision-making.

o Maintain and update Board templates, registers, and key governance documentation under the direction of the Company Secretary.

3. Administration and Record Keeping

o Manage office communications, including answering phones, responding to emails, and directing inquiries as necessary.

o Greet visitors and coordinate meeting room schedules.

o Maintain office supplies and equipment, ordering replacements and arranging maintenance as needed.

o Oversee filing and document management systems (electronic and physical), ensuring security and easy retrieval.

o Prepare and manage templates, contracts, and records in line with compliance requirements. Develop databases to record contracts and/or records; keep the executive informed of any terms and conditions that impact day-to-day operations (e.g. NDA Registry).

o Coordinate with IT service providers and internal stakeholders to ensure smooth IT operations and support.

4. Documentation & Record-Keeping:

o Organise and manage digital and physical files, ensuring easy access and retrieval of important documents.

o Assist with data entry, document formatting, and preparation of reports and presentations.

5. Financial & Accounting Support:

o Process and reconcile executive expenses and company cards/accounts.

o Support finance with invoice processing, tracking expenses (e.g Departmental Budgets and R&D spend), and coordinate with the finance department for monthly accounts close procedures and any grant expense reporting/reconciliations.

o Support finance with annual activities such as annual accounts close, R&D expense reporting and audit.

o Assist in maintaining financial records and preparing expense reports as needed.

o Assist with grant, award and other suitable applications, plus any ongoing reporting requirements.

6. HR & Team Support:

o Support recruitment, onboarding and offboarding processes, in collaboration with the Chief of Staff, including preparing new hire paperwork, setting up employee workstations and aligning account and document access as required.

o Assist with HR record keeping, contract administration, and policy documentation.

o Organise internal events, team activities, and recognition initiatives.

o Support the Chief of Staff with the planning, coordination, and delivery of company and staff workshops, strategy sessions, and off-sites.

7. General Office Support

o Provide overflow administrative support across the company as required.

o Act as a point of contact for internal staff and external stakeholders on behalf of the CEO.

o Manage and update the Company website as required and maintain frequent (at least once per month) posts on the Company social media sites.

o Maintain confidentiality and handle sensitive information with discretion.

o Monitor and champion policies, processes and procedures and suggest ideas for continuous improvement of the business’ operations and internal governance.

Requirements

Qualifications and Experience:

  • Proven experience (10+ years) as an Executive Assistant, ideally supporting C-level executives in a start-up or high-growth environment.
  • Exceptional organisational skills with the ability to prioritise, multi-task, and anticipate needs.
  • Strong written and verbal communication skills, with experience drafting reports, correspondence, and professional documents.
  • Advanced proficiency with Microsoft Office Suite, and document management systems.
  • High level of discretion, judgement, and interpersonal skills to manage sensitive matters.
  • Experience in financial administration (expense reconciliation, invoice processing, Xero)

About Us:

Kite Magnetics is a Melbourne-based clean-energy company founded in 2022. We develop advanced materials that help make electric motors in EVs and other systems lighter, more efficient, and more sustainable. About the Role:

This role strengthens Kite Magnetics’ internal operations, compliance, and commercial functions by building robust systems, enabling high-quality administration and reporting, and supporting both business development and finance workflows. You will help create operational clarity and reduce administrative burden on the Chief of Staff and CEO, allowing them to focus on strategic growth, fundraising, and scale-up activities.

2. Business Development & Commercial Support

o Prepare structured research briefs and background materials that enable the Chief of Staff, CEO and Head of Business Development to conduct commercial analysis and strategic assessments.

o Maintain and continuously update a market-intelligence repository, ensuring information is accurate, referenced, and easily accessible.

o Provide clearly formatted inputs (data tables, summaries, source lists) for TAM/SAM/SOM models, competitive landscape reviews, and go-to-market planning, noting that strategic interpretation is owned by the Chief of Staff.

o Support ad hoc research requests by gathering factual information, validating sources, and presenting findings in an organised and neutral manner.

o Support the Head of Business Development by maintaining accurate tracking of customer engagements, including meeting notes, next steps, follow-up actions, legal documentation, and contract status.

o Assist with preparation of customer-facing packs, data sheets, and documentation when required.

o Coordinate travel and logistics for investor-roadshows and business-development activities (CEO/CoS/BD).

o Manage and update the Company website as required and maintain frequent (at least once per month) posts on the Company social media sites.

3. Finance & Administration Support

o Assist with accounts payable/receivable workflows, expense tracking, and basic financial data preparation, coordinating with Finance as needed.

o Track and organise grant-related documentation, R&D expenses, and reporting inputs for annual submissions.

o Maintain data quality, version control, and documentation integrity across financial and administrative systems.

o Ensure office-related procurement (supplies, services, consumables) is well-managed and documented, coordinating closely with the Procurement & Logistics Coordinator where responsibilities intersect.

o Manage office communications, including greeting visitors, answering phones, responding to emails, and directing inquiries as necessary.

4. Documentation and Data Management:

o Organise and maintain digital and physical records for company documents, ensuring easy retrieval and correct version control.

o Support creation and maintenance of internal documentation including policies, registers, templates, workflows, and SOPs.

o Prepare reports and presentations for leadership, BD, and internal reviews as required.

5. Quality, Compliance & Information Security Systems

o Support development of internal processes aligned to ISO 9001, including documentation control, working with the Chief of Staff and senior engineers.

o Assist in establishing systems, access controls, and documentation structures needed for ISO 27001information-security readiness, working closely with IT providers and the Chief of Staff.

o Ensure compliance tools and registers remain accurate, current, and well-maintained.

6. People, Safety and HR Systems Support:

o Collaborate with the Chief of Staff on recruitment workflows, including job-posting processes, scheduling, documentation, and candidate tracking.

o Improve onboarding and offboarding processes and maintain HR-related systems including access control and asset-allocation records.

o Maintain HRIS/KPI systems and support reporting on people metrics and operational KPIs.

o Support internal events, training sessions, and team-building activities to foster a positive workplace culture.

o Work with OHS representatives to maintain incident and near-miss registers and ensure safety documentation is up to date.

Requirements

Qualifications:

· Bachelor’s degree in Business, Operations Management, Industrial/Manufacturing Engineering, Commerce, or a related field.
